Managing permissions

Managing permissions in SISTEM allows you to control what each user can see and do within the platform. By assigning the right permissions, you ensure operational security, prevent errors, and maintain clear accountability across your parking operations.

Permissions work together with roles and access levels to define system behavior for every user.

Why permissions matter

Parking operations involve financial transactions, access control, and real-time decisions.

Incorrect permissions can lead to:

  • Unauthorized pricing changes
  • Revenue data exposure
  • Accidental deletion of sessions
  • Operational confusion

Proper permission management ensures that users only perform actions relevant to their responsibilities.

How permissions work in SISTEM

Permissions are controlled through three layers:

  • Role → Defines what actions a user can perform
  • Access level → Defines where the user can perform those actions
  • Parking assignment → Defines which locations the user can access

Together, these determine the user’s effective permissions.

Permission layers explained

1. Role-based permissions

Each role comes with predefined capabilities.

Examples:

  • Admin → Full system control
  • Manager → Configure operations and monitor performance
  • Operator → Handle vehicle sessions and payments
  • Accountant → Access financial records
  • Viewer → Read-only access

Roles ensure consistency and reduce the need for manual permission configuration.

2. Access-level permissions

Permissions are scoped by access level:

Organization-level access

  • Manage billing and subscriptions
  • Add team members and assign roles
  • View organization-wide reports

Parking-level access

  • Manage parking settings
  • Configure rates and facilities
  • Operate sessions at assigned locations

This separation prevents unintended system-wide changes.

3. Parking assignment permissions

Users can only act within assigned parking locations.

For example:

  • An operator assigned to Parking A cannot create sessions in Parking B
  • A manager assigned to two parkings can configure both

This ensures location-specific control.

Who can manage permissions

Organization admins and parking admins can:

  • Assign roles
  • Modify access levels
  • Grant multi-parking access
  • Update user permissions

How to manage user permissions

Steps to update permissions

  1. Go to Organization settings
  2. Select Team members
  3. Choose the user to update
  4. Update:
    • Role
    • Access level
    • Assigned parkings
  5. Save changes

Changes take effect immediately.

Permission change scenarios

Changing an operator to manager

Use when a staff member takes on supervisory duties.

Restricting access to a single parking

Use when staff transfers to a specific location.

Granting viewer access to auditors

Allows report visibility without operational control.

Best practices for permission management

  • Follow the principle of least privilege
  • Review permissions regularly
  • Avoid sharing admin accounts
  • Assign temporary elevated access when needed
  • Document permission changes for accountability

These practices help maintain security and operational clarity.

Common permission issues and solutions

Issue: Operator cannot see a parking
Solution: Check parking assignment.

Issue: Manager cannot edit rates
Solution: Verify role and access level.

Issue: User sees too much data
Solution: Restrict access to parking-level.

Relationship with other access controls

Permissions work alongside:

  • User roles
  • Org-level vs parking-level access
  • Multi-parking access
  • Audit trails and activity logs

Together, they form SISTEM’s access control framework.
