Manual entry

Managing vehicle access through on-site operators

Manual entry is an entry and exit method in SISTEM where vehicle details are recorded onsite by operators. It is commonly used at locations where automated systems (ANPR, RFID, gates) are not installed or where human validation is required.

Manual entry ensures that every vehicle entering a parking location is still tracked digitally, with full visibility into timings, duration, pricing, and revenue.

When manual entry is used

Manual entry is ideal for:

  • Open parking lots
  • Event or temporary parking
  • Locations with high walk-in traffic
  • Sites transitioning from manual to automated systems
  • Backup operations when hardware systems are unavailable

It allows parking operations to remain structured and auditable, even without automation.

What problem manual entry solves

Traditional manual parking operations rely heavily on:

  • Paper slips
  • Verbal coordination
  • Cash-only tracking
  • End-of-day reconciliation

This leads to:

  • Missing or inconsistent entry records
  • Revenue leakage
  • No clear session history
  • Difficulty tracking operator actions

Manual entry in SISTEM replaces informal processes with structured vehicle sessions, ensuring every vehicle is recorded, priced correctly, and reported accurately.

How manual entry works in SISTEM

Manual entry is tightly integrated with SISTEM’s operations layer.

Instead of isolated entries, SISTEM creates a vehicle session that represents the complete lifecycle of a vehicle inside a parking.

Each manual entry follows a clear flow:
Entry → Active session → Exit → Billing → Completion

Operator workflow for manual entry

Step 1: Record vehicle entry

  • The operator logs in to the onsite system.
  • Open Manual entry.
  • Enters:
  • Vehicle number
  • Vehicle type
  • Parking mode (walk-in or pass)
  • Entry time is automatically captured.
  • Entry is saved.

A live vehicle session is created immediately.

Step 2: Confirm the vehicle entry

  • Confirm the entry.
  • The vehicle appears in active parking session
  • The session remains active while the vehicle is parked.
  • Operators can search sessions by vehicle number.

Step 3: Record vehicle exit

  • Operator opens the active session.
  • Clicks Mark exit.
  • Exit time is captured automatically.
  • SISTEM calculates:
    • Total parking duration
    • Applicable pricing
    • Final payable amount

Step 4: Complete payment

  • Operator selects the payment method:
    • Cash
    • Digital payment
    • Pass or subscription
  • Confirms payment.
  • Session status changes to Completed.

Why manual entry still matters

Even in automated environments, manual entry plays a critical role:

  • Acts as a fallback during system downtime
  • Supports edge cases not handled by automation
  • Enables gradual transition to hardware-based entry
  • Keeps operations running without disruption

SISTEM treats manual entry as a first-class operational method, not a temporary workaround.

Designed to scale with automation

You can start with:

  • Manual entry only

And later add:

  • Pass-based entry
  • ANPR-based entry
  • Gate and hardware integrations

All methods work within the same vehicle session model, ensuring consistency across operations.
