A payment gateway is what lets SISTEM process and verify a payment automatically, rather than relying on someone manually confirming it happened. Instead of just recording that a customer paid, a gateway actually handles the transaction securely, in real time, and without operator guesswork.
SISTEM comes with two payment gateways already integrated and ready to connect.
Why Payment Gateways Matter
Connecting a real payment gateway changes more than just how a customer pays — it changes how reliable and efficient your entire checkout process is:
- Faster checkout — payments are processed and confirmed automatically, so operators aren’t stuck waiting on manual verification.
- Fewer errors and disputes — since the gateway itself confirms the transaction, there’s no relying on trust or memory to know whether a payment actually went through.
- Real-time reconciliation — a completed payment reflects instantly in the session and in your reports, with nothing to manually mark or reconcile later.
- Stronger security — transactions are processed through secure, certified channels, rather than depending entirely on manual handling.
- Less cash dependency — reduces how much of your operation relies on physical cash handling, which also reduces the risk that comes with it.
- A more professional experience — especially in higher-traffic locations like malls, airports, or event venues, where customers expect fast, card- or app-based payments.
- Cleaner, more accurate revenue data — since every transaction is processed and logged automatically, your reports reflect what actually happened, without manual entry gaps.
The Gateways Available in SISTEM
Razorpay
Razorpay is an online payment gateway that processes card and digital payments through its platform. It handles the transaction end-to-end verifying and confirming payment automatically, so the session updates the moment payment is completed.
PinLabs POS
PinLabs POS is a hardware integration that connects SISTEM to a PinLabs card machine. Card payments taken on the physical device are reflected directly in your sessions, so there’s no need to manually log what was charged on the terminal separately.
Both of these come pre-integrated with SISTEM, you’re not building a connection from scratch, just setting up your own account or device to work with it. Each has its own dedicated setup article covering that process.
How to Add a Payment Option
Step 1: Go to Payment Options
Navigate to Settings → Payment Options. This opens Payment Gateway Settings, where all available payment options are listed.
Step 2: Select the payment option you want to add
Use the Add Gateways field to choose from the available options — Cash Payment, QR Code Payments, Free Pass, PinLabs POS, or Razorpay.

Step 3: Add it
Click Add Gateways to confirm. Built-in methods like Cash, QR Code, and Free Pass are ready to use immediately. Integrated options like Razorpay or PinLabs POS will prompt you to complete their connection setup before they’re active.
Where the Money Actually Goes
Payments processed through Razorpay or PinLabs POS go directly through that gateway as the gateway itself handles the transaction, and the funds move accordingly to your connected account.
SISTEM does not sit in between as a payment processor, and it does not deduct anything from these transactions. Its role is simply to reflect the completed payment in your sessions and reports. The payment itself, and the money, stay entirely between you and the gateway.
Want to Use a Different Gateway?
If your organization needs a payment gateway beyond Razorpay or PinLabs POS, this isn’t something you can configure yourself integrating a new gateway requires coordination with the SISTEM team directly.
If this applies to you, reach out to hello@sistem.app with the gateway you’d like to use, and our team can look into what’s needed to get it connected for your organization.
Things to Keep in Mind
- Razorpay and PinLabs POS both require you to connect your own account or device details before they become active, they’re not usable out of the box without that step.
- Any gateway beyond these two is added on request, not something you can configure independently.
- Once connected, a gateway handles verification automatically there’s no need to manually confirm or reconcile payments processed through it.
