Reports in SISTEM

Every part of your parking operation revenue, traffic, passes, facilities, and team performance is already being tracked in SISTEM. Reports are where all of that comes together, giving you a clear, ready-to-use view of what’s actually happening, without piecing it together yourself from spreadsheets or asking each location for updates.

Why Reports Matter

  • Better decisions, backed by data — instead of relying on gut feeling, you can see exactly how a parking, a pass type, or a facility is performing.
  • Financial transparency — every transaction is accounted for, which matters both for your own visibility and for audits.
  • Spotting trends early — traffic patterns, peak hours, and revenue shifts show up in reports long before they’d be obvious on the ground.
  • Accountability — operator and team activity is tracked, so performance isn’t just assumed.
  • Knowing what’s actually working — whether a pass type, a facility, or a specific parking is worth the investment becomes a lot clearer with real numbers behind it.

Two Levels of Reports

Reports in SISTEM exist at two levels, and understanding this distinction is the key to finding what you need quickly.

Organization-Level Reports

These give you a single view across every parking under your organization — built for anyone who needs the big picture rather than one location’s detail.

  • Parking Performance — a unified view of activity, revenue, and efficiency across all your parkings, helping you understand overall performance and trends.
  • Financial Breakdown — a clear view of how revenue is generated across payment methods, helping you understand cash flow, trends, and collection patterns.
  • Service Breakdown — revenue and usage across different services like parking, passes, facilities, and bookings, helping you see where to focus.

Parking-Level Reports

These are scoped to a single parking, giving you the operational detail an org-wide view wouldn’t show. They’re grouped by category:

Revenue Reports

  • Monthly Overview — a monthly breakdown of revenue across payment modes and activities
  • Total Amount Closed — revenue closed by day, compared to previous periods
  • Amount by Payment Mode — how revenue splits across payment modes, useful for audits
  • Operator Activity Report — a breakdown of activity per operator, including revenue and payment modes
  • Daily Transactional Summary — a detailed log of every transaction throughout the day

Parking Reports

  • Traffic Days — historical daily vehicle inflow, with peak demand analysis
  • Top Vehicle Category — the distribution of vehicle categories parked over a period
  • Activity by Time of Day — vehicle inflow visualized by hourly intervals, per day

Pass Reports

  • Pass Created — details of new, renewed, and expired passes by date
  • Pass Revenue — revenue generated from pass sales, including renewal rates

Operators Report

  • Operators Activity Report — operator performance, sessions, and individual revenue collections

Facilities Reports

  • Facilities Revenue — usage and revenue tracking across facilities like EV charging, valet, and lockers

The general rule: if you’re asking a question about the whole business, start at the organization level. If you’re asking about how one specific parking is doing, go to that parking’s reports instead.

What You Can Do With Reports

Reports aren’t just static pages — you can work with them the way you’d need to for real decision-making:

  • View a report directly from the dashboard, whenever you need it
  • Filter by time period — monthly, yearly, or a custom date range, depending on what you’re trying to understand
  • Share a report — either by sending a direct link, or exporting it, so the right report reaches the right person without needing to give them full access to SISTEM

Who Can Access Reports

Report access depends on both your role and the access level you’ve been given:

  • Admins have full access to every report — organization-wide and across every parking.
  • Parking Managers have full access to reports for the specific parking(s) they manage, but not other parkings or organization-level reports.
  • Accountants need to be explicitly given view access to financial reports, this isn’t automatic, since financial visibility is granted based on what someone actually needs to do their job.
  • Beyond role, access itself comes in two levels: Full Access, which allows viewing, exporting, and sharing, and View Only, which allows someone to see a report without being able to export or share it further.

This keeps sensitive financial and operational data visible only to the people who genuinely need it.

Choosing the Right Report for Your Question

Rather than browsing every report, it often helps to start from the question you’re actually trying to answer:

  • “How is my business doing overall?” → Parking Performance (organization-level)
  • “Where is my revenue actually coming from?” → Financial Breakdown or Amount by Payment Mode
  • “Is this pass type worth offering?” → Pass Revenue
  • “When is my parking busiest?” → Traffic Days or Activity by Time of Day
  • “Is my team performing well?” → Operator Activity Report or Operators Activity Report
  • “Are my facilities actually generating revenue?” → Facilities Revenue

Best Practices

  • Review reports on a regular cadence — weekly or monthly — rather than only when something feels off
  • Use organization-level reports for strategic decisions, and parking-level reports for day-to-day operational ones
  • Export or share key reports before making major decisions — for example, before suspending or deleting a parking, so nothing important is lost
  • Grant view access thoughtfully — only give financial visibility to roles that genuinely need it
