Auto renewal and pass validity

Parking passes in SISTEM have defined validity periods and optional auto-renew behavior. Understanding how validity and renewal work ensures uninterrupted access and predictable revenue.

How pass validity works

Each pass type has a predefined duration based on its configuration:

  • Daily pass → Valid for 24 hours
  • Monthly pass → Valid for 30 days
  • Yearly pass → Valid for 365 days

The validity period starts from:

  • The activation date, or
  • The purchase date (depending on configuration)

Once the validity period ends, the pass status changes to expired unless renewed.

How auto-renew works

Auto-renew is enabled by default when:

  • An online payment method is configured
  • The pass is linked to a valid payment source

When auto-renew is active:

  • The system automatically attempts renewal upon expiry
  • The renewal follows the same duration (daily, monthly, yearly)
  • A new validity cycle begins immediately after expiration
  • Access continues without interruption

If payment fails, the pass will not renew and will move to expired status.

Where auto-renew applies

Auto-renew applies only when:

  • Online payment gateways are configured
  • The pass is eligible for recurring billing

For offline or manually issued passes, renewal must be processed manually.

How admins manage auto-renew

Admins and managers can control auto-renew settings at the pass session level.

To configure auto-renew for a vehicle:

  1. Navigate to Pass sessions
  2. Search for the active pass
  3. Open the pass session details
  4. Locate the Auto-renew option
  5. Disable auto-renew if required
  6. Save changes

Once disabled:

  • The pass will expire at the end of its current validity
  • No automatic renewal will be attempted

Operational considerations

Keep auto-renew enabled when:

  • Managing long-term subscribers
  • Reducing renewal friction
  • Ensuring uninterrupted parking access

Disable auto-renew when:

  • A vehicle is no longer eligible
  • Payment method is invalid
  • The subscriber requests cancellation

Important notes

  • Auto-renew works only with configured online payment methods.
  • Renewal follows the same pass type duration.
  • Admins can override auto-renew at any time.
  • Changes apply to future renewal cycles only.

Auto-renew helps maintain continuity for subscribers while giving administrators full control over renewal behavior.
