Pass usage tracking
Pass usage tracking in SISTEM controls how many times a pass can be used within its validity period.
A pass is not only limited by time (validity), but also by usage count.
This ensures controlled access and prevents misuse.
How pass usage works
When a pass is created, it can include:
- A validity period (daily, monthly, yearly)
- A defined number of allowed sessions (usage limit)
Each vehicle entry using the pass counts as one usage session.
Once the usage limit is reached:
- The pass becomes inactive for further entries
- Even if validity time is still remaining
Both conditions must be valid for a pass to work:
- Validity period active
- Remaining usage available
If either condition fails, the pass will not authorize entry.
Examples of usage behavior
Yearly pass example
- Validity: 365 days
- Usage allowed: 365 sessions
If all 365 sessions are consumed before the year ends:
- The pass stops working
- It must be recharged or renewed
- Even if remaining days are still available
Weekly pass example
- Validity: 7 days
- Usage allowed: 7 sessions
If all 7 sessions are used in one day:
- The pass expires immediately
- Remaining days do not matter
This ensures usage-based control, not just time-based access.
Where pass usage is configured
Usage settings are configured inside:
Pass sessions → Specific vehicle pass
Admins and managers can:
- View remaining usage
- Monitor total sessions consumed
- Edit or recharge usage if required
Each pass session shows:
- Vehicle number
- Pass type
- Validity period
- Total allowed usage
- Used sessions
- Remaining balance
How usage is calculated
Every time a vehicle:
- Enters using pass-based entry
- Is validated under an active pass
SISTEM:
- Logs the session
- Deducts one usage from the balance
- Updates remaining usage in real time
This works across:
- Manual entry
- ANPR-based entry
- Pass-based validation points
What happens when usage is exhausted
When usage reaches zero:
- The pass will no longer authorize entry
- Operators will see pass expired or usage exhausted status
- The vehicle must either:
- Recharge usage
- Renew the pass
- Pay regular parking charges
Operational best practices
- Align usage count with validity duration
- Avoid setting unlimited validity with limited usage unintentionally
- Monitor high-frequency vehicles
- Recharge passes before peak periods
Usage tracking gives operators precise control over access while maintaining fairness and revenue protection.
